Job Description

OVERALL PURPOSE OF POSITION

The position is accountable to the Head of Procurement and Logistics. The Store / Procurement and Logistics Administrator is required to ensure the general management of all warehouse areas including serviceable, unserviceable, quarantine, reject, receipt and despatch areas, perform standard inventory control functions and aircraft parts procurement processes and incoming stores inspection.

TECHNICAL RESPONSIBILITIES

  • Assisting Procurement and Logistics Executives in monitoring supplier performance and carrying out supplier performance appraisals.
  • Assisting P&L Executive with special procurement or logistics projects.
  • Regular reporting of work progress to P&L Executive.
  • Processing of system and aircraft maintenance requisitions.
  • Monitoring and follow up of re-stocking and maintenance-related orders with the suppliers and contracted freight forwarder.
  • Processing of supplier invoices.
  • Carrying out inventory control, parts receiving inspection, audits and store transaction duties.
  • Perform systematic physical stock checks and keep quantity or batch discrepancy to a minimum.
  • General upkeep of all serviceable stores, unserviceable stores, quarantine, reject, dispatch, receipt areas and upkeep of all section equipment and tooling.
  • Ensuring that aircraft components, parts and materials are appropriately binned and stored in accordance with Aviation Standards Practices.
  • Ensure appropriate packing of aircraft parts and components for shipment.
  • Comply with and regularly revise the latest section procedures.
  • Disposal of scrapped parts and materials, in accordance with section procedure.
  • Assist as necessary P&L Executive with both internal and external audits.
  • Maintain a current Airfield Driving license, AVSEC Airport security pass and successfully pass company mandatory courses and IATA Dangerous Goods course exams.
  • Drive company vehicles on the airfield and handle store equipment including forklifters.
  • Adhere strictly to company health and safety policies, including wearing company-provided, PPE whilst on duty.
  • Other responsibilities as assigned by higher management from time to time.

EXPERIENCE,  QUALIFICATIONS AND SKILLS

  • Good command of spoken and written English and Maltese.
  • Good interpersonal, presentation and communication skills.
  • Committed to enhancing own and section’s performance and efficiency.
  • Ability to learn and use software systems used within the department.
  • Ability to work as part of a team.
  • Ability to work under pressure and with minimum supervision.
  • Be in possession of a clean police conduct and in possession of a valid driving license.
  • Willingness and ability to learn how to operate equipment used in stores and warehouses such as pallet lifters, engine-driven fork lifters, towing cargo dollies, strapping machines etc.
  • If selected, the applicant would need to sit for and successfully pass, an MIA course to obtain the MIA Airfield Driving Permit.
  • Ability to understand task priorities.
  • Willingness to learn more and accept formal and on-the-job training in skills, knowledge and procedures, related to the position.

WORKING CONDITIONS

  • Normal office hours as well as staggered or 24-hour shift roster duty.
