Job Description
OVERALL PURPOSE OF POSITION
The position is accountable to the Head of Procurement & Logistics. He/ She will be mainly responsible for all activities within the section, including the day- to-day running of the Section and be responsible for the subordinates. The Senior Executive Procurement and Logistics will be required to assist Head of Procurement & Logistics to maximize the efficiency of the Section functions and processes.
RESPONSIBILITIES
- Coordinating the day-to-day running of the Procurement & Logistics section.
- Responsible of a team of supply chain administrators.
- Regular reporting of work progress to Head Procurement & Logistics.
- Negotiate and administer parts or maintenance service agreements.
- Processing of System and Aircraft Maintenance requisitions, issuing of RFQs, price negotiations, quote selection, ordering, order follow ups, shipping and invoice processing.
- Monitoring and maintaining appropriate credit facilities with suppliers.
- Monitoring Supplier performance and carrying out Supplier Performance Appraisals.
- Administering & maintaining the Approved Suppliers lists.
- Assisting Management on Procurement, Logistics or Maintenance projects.
- Carrying out Inventory Control, Receiving Parts Inspection, Audit, and stores transaction duties when necessary.
- Coordinating with Purchasing & Logistics Administrators to carry out regular stock checks.
- General management of all store areas including unserviceable stores areas, quarantine and reject area, main stores areas, all annex stores, dispatch and receipt areas.
- Responsible for On-Job-Training of the P&L Administrators.
- Regular review of surplus/obsolete parts for possible sale/scrap.
- Shift hand-over system management.
- Administering work absence applications and overtime requirements for all Purchasing & Logistics Administrators.
- Ensuring that aircraft components, parts and materials are appropriately binned and stored in accordance with Aviation Standards Practices.
- Address problems which hinder the administrators’ work processes.
- Ensuring that all section procedures are strictly adhered to by all the team.
- Responsible for the correct disposal of scrapped parts and materials, in accordance with section procedures.
- Comply with and regularly revise latest Section procedures.
- Assist internal and external auditors as and when necessary and take any necessary corrective actions to mitigate findings.
- Maintain a current Airfield Driving License, AVSEC Security Permit, pass successfully Company mandatory courses and IATA Dangerous Goods course.
- Drive company vehicles on the airfield and handle stores equipment including fork lifters.
- Carry out duties and responsibilities of staff of lower grade.
- Other responsibilities as assigned by higher management from time to time.
Working Conditions
- Normal office hours as well as staggered or 24 hrs shift roster duty.
Qualifications and Experience
- Good command of spoken and written English.
- One “A” level or MQF 4 pass, preferably in a Science or business/management subject.
- Work experience in procurement or logistics will be an asset.
- Basic technical aptitude and good interpersonal, presentation and communications skills.
- Committed to enhance own and section’s performance and efficiency.
- Valid ECDL (Base Module) or equivalent certificate, to show basic knowledge on XL, Word, Online essentials including Outlook.
- Ability to learn and use software systems used within the department.
- Ability to work as part of a team.
- Ability to work under pressure and with minimum supervision.
- Be in possession of a clean police conduct and be in possession of a valid driving license.
- Possession of Aviation Human Factors and Stores Inspection will be an asset. Otherwise, will have to successfully sit for these courses (provided by the company) within the job probation period.
- Work experience on negotiating and management of Procurement, Logistics and/ or Maintenance contracts, will be considered as an asset.
- Willingness and ability to learn how to operate equipment used in stores and warehouses such as pallet lifters, engine driven fork lifter, towing cargo dollies, strapping machines etc…
- If selected, applicant would need to sit for and successfully pass, an MIA course to obtain the MIA Airfield Driving Permit.
- Willingness to learn more and accept formal and on-job-training on skills, knowledge and procedures related to this Position Description.
